AffairWhere makes the most of function spaces

AffairWhere is the latest IT software to support the effective management of function space and banquet events for cruise lines.

Backstage Software’s event management software runs as a stand-alone application receiving group and delegate information directly from a cruise operator’s reservation system, or alternatively, works in conjunction with data from an existing Fidelio Cruise SPMS or SilverWhere database.

Shoreside, the reservation agents can book group events in advance, whilst on-board crew can use the shipboard mode to manage a ship’s function space efficiently and create Banquet Event Orders when required. This enables the booking of a ship’s function spaces to be optimised, with quicker response times and improved profitability.

Functionality includes:

 - The stClick to enlarge the screenshotatus of meeting spaces on all ships is monitored in The Function Book which allows multiple users and different views on the availability of meeting spaces.

 - Locations can be set up as usually available – a conference room – or usually not available – a restaurant, for example. Those locations marked “not available” can be approved for group events by authorised users.

 - When a meeting space is booked, banquet order items, with pricing and supplier information, can be added to the event and included in group event letters. Once the group is on board, these items are then delivered automatically by email to the correct provider for fulfillment.

 - The system can store its own group data, or access group information from a SPMS or SilverWhere database. Once a particular group is selected, all relevant information is automatically displayed.

- Information is sent via the AffairWhere Export/Import process from shore to ship and back. Both shore and ship can book events which are then synchronised between the two databases.

Many cruise lines also use AffairWhere to manage all other shipboard events so that a complete event calendar can be communicated to cruise guests. Fidelio Cruise has the exclusive rights to market and implement SilverWhere and AffairWhere.
